Board of Director’s Meeting Osterville Village Association September 12, 2005
Present were: David Richardson, Bo Murdoch, Art Marney, Gail nightingale, Mary Jane Savage, Bill Cutcliffe, Chuck Sabatt, Bruce Harding, Gail Albertini, Karen Smith, Tom Evans, John Crow, Tami Fagans and Warren Hansen.
The meeting was called to order at 12:00 p.m.
Secretary’s Report: The Minutes of the June 28th meeting were accepted. The Minutes of the Annual Meeting were accepted.
O.B.P.A.: A very successful village day was held on July 16th, and plans are being finalized now for fall festival to be held on October 1, (with a preview luncheon on September 30th at BankNorth.)
I would ask the OVA to vote to sponsor the horse drawn hayrides (up to a cost of $500.00) for the fall festival. This is part of the town tourism grant, and 50% should be reimbursed to OVA in this current year’s grant.
Our next breakfast meeting will be held this Thursday, September 15th at Keeper’s Restaurant at 8:00 a.m.
We received our $1000.00 from last year’s town tourism grant – and we assume the OVA received their $1000.00.
New Members of O.B.P.A: Kindred’s, Ann E. Rascati, 845 Main Street, Suite K Nicastro Associates, Joe Nicastro, 832 Main Street Family Choice Mortgage Corp. Leslie Cozza, 901 Main Street We have sent $1000.00 to our scholarship winner’s college. It has been suggested that we increase this scholarship to $1,500.00 with equal amounts being donated by O.B.P.A. ($750.00) and OVA ($750.00). Currently O.B.P.A. donates $750.00 and OVA donates $250.00 for a total of $1000.00.
The rules would remain the same – scholarship currently is awarded to a high school senior who lives in Osterville, or a high school senior who is the son or daughter of an O.B.P.A. member ( regardless of where they live). If you agree, I would ask that you vote to donate $750.00 this year towards the annual O.B.P.A./OVA scholarship for a total scholarship of $1500.00.
Motion to sponsor the horse-drawn hayrides with a cost of up to $500.00 for Fall Festival. Motion carried.
Motion to increase the scholarship amount to $750.00 starting with this year’s scholarship. Motion carried.
Motion to continue the rules as they currently are, which is to award the scholarship to a high school senior living in Osterville or O.B.P.A./OVA member regardless of where they live. Motion carried.
Discussion about new scholarship for next month in honor of Townie Hornor – naval architecture, engineering, etc.
Treasurer’s Report – Wendy is sending last group of names off to Melissa to have second membership letters sent out. Not much difference since our last meeting. Membership is at 469 paid members – 232 paid sponsors as of today – dues were increased. For a total of 701 members. Treasurer’s report was accepted.
Membership Committee: last year we had a second mailing in August. We will be sending a second mailing soon. Membership should run very close to last year. Bill will take care of the second mailing. Standard dues announcement would be sent village wide to people who have not paid. We need to supply a brief letter. The mailing could go out before October 1st.
Fall Festival Membership table – We will have a table from 10:00 – 2:00 p.m. The night before the festival, Breaking Grounds will have a dinner to raise funds for Parkinsons Disease. There will also be an Apple Pie baking contest and an animal costume party. A list for volunteers for the membership table will be passes around.
Ostervillage Record – Bill plans to have an October / November record. Bill could change minutes from the annual meeting and add those into the record. He will include information on new library developments and he is open for other ideas. We could include information on the Christmas stroll. This will be Bill and Jay Larmon’s last issue Jay will be moving off cape in May or June.
Candidates night
We could have this very soon – first week in October, 2005 – October 4, 2005 Invite the assessor – Paul Matheson – Jack Goldsmith and Jack O’Brien.
Held on a weeknight – The format would include questions and answers for the candidates for 45 minutes and then have Paul speak for 45 minutes. We will start with a call to Paul and see when we can arrange an available night.. We can use the Academy’s facilities.
Robert J Smith Jr. Fund. – Warren Hansen – Osterville Bay Elementary School thanked OVA for it’s donation for the 4th grade outing.
Carl Monje – needs $2000.00 Please see his letter regarding all requests. · Bell cleaning of area, Liam’s train refinished $200.00 · 5 new bee packages $300.00 · Cabot stain $800.00 · Liam’s train $700.00 · Total expenses of $2,000.00 Motion to donate $2,000.00 to the Armstrong Kelly Park – Bill Cutcliffe feels we should have a budget in place soon regarding requests for donations. Motion to donate $2,000.00 to Armstrong Kelly Park with the understanding that this may be all that will be available this year until budget committee has met. Motion carried.
Committee Appointments per annual calendar – September – chair appointments and vote on standing committees O.B.P.A. Nominating, Budget, Membership, Planning Committee, Website and Fund for Osterville. Membership Committee is important now – John Crow will chair and Gail Albertini and Bruce Harding will be members of the committee. Budget Committee – Tami will chair budget committee. Bill Cutcliffe, Tom Evans, Gail Nightingale and Bill Craig will be members of the committee. O.B.P.A. – Gail Nightingale and Tami will make up the committee. Nominating Committee – John Crow, David Richardson, will chair and Bruce, Chuck Sabatt and 3 from membership at large. A notice will be posted in the Ostervillage Record for 3 outside members at large. By-Laws Committee- Arthur Marney will chair the committee and Mary Jane and Bill Cutcliffe will be members of the committee. Planning Committee – Mary Jane Savage Ostervillage record – Gail will help on the committee. David Richardson, Jay Larmon and Bill Craig will serve on the committee. New business:
Motion to send a donation of $500.00 in memory of Townie Hornor’s memory to the National Marine Life Center. Motion carried. IRS letter – There will be an audit of past income tax filings of OVA and O.B.P.A. We have authorized our CPA to contact the IRS. She spoke with a representative and it won’t be a big deal. There are 5 line items they are interested in regarding the festivals and village days. We have received an extension. There will be no charge for the CPA’s services.
